In the ever-evolving landscape of workplace technology, a recent survey from Microsoft Canada reveals a significant trend: the majority of Canadians believe that consent should be sought before using artificial intelligence (AI) to record meetings. Specifically, 59 per cent of respondents feel that permission is necessary for AI transcriptions, while 63 per cent hold the same view regarding audio recordings. Now, it’s more about finding appropriate ways to implement it,” she states. This transition reflects a broader acceptance of AI, which, when used correctly, can alleviate stress and enhance confidence—particularly for those in the early stages of their careers.

According to the survey, nearly half of the workforce—47 per cent—believes that AI tools assist them in refining their writing and boosting their confidence when communicating significant messages. Similarly, the same proportion of employees find that AI aids them in tackling daunting projects. However, Durham underscores the importance of using these tools responsibly, particularly in meetings where transparency is key.

Durham asserts that courteous communication is paramount. “If you’re using an AI notetaker in a meeting, it’s generally considered inappropriate to keep that a secret,” she explains. She highlights the potential personal implications of AI-generated notes, emphasising that not everyone may want their vulnerabilities, such as personal challenges, disclosed in meeting summaries. To mitigate such concerns, she advises notifying attendees in advance about the use of AI for note-taking and ensuring that human review occurs before sharing any materials.

This perspective positions AI as an enhancement rather than a substitute for human interaction. “Corporate culture should revolve around utilising AI tools to work more effectively, allowing more time for interpersonal relationships. Problems arise when AI outputs are treated as final products without human oversight; that’s when the essential human touch is lost,” Durham cautions.

When it comes to AI etiquette, Durham offers straightforward advice. “If your actions affect others, it’s only polite to inform them,” she says. This principle not only applies to AI but is a broader guideline for professional conduct, reinforcing the idea that respect and transparency should remain central to workplace interactions, regardless of technological advancements.
